Migration Scenarios We Handle

Most Common

File Server to SharePoint Online

The most common migration we run. Windows file shares and mapped network drives moved to SharePoint document libraries with proper structure, metadata and permissions - not just dumped into a single library.

Challenges we solve

Deeply nested folder structures (10+ levels deep) that exceed SharePoint's URL character limits
Invalid characters in file and folder names that SharePoint doesn't support
NTFS permissions that need mapping to SharePoint groups and Azure AD security groups
Duplicate files, orphaned data and years of unstructured content that needs cleaning before migration

What we deliver

Pre-migration assessment and content audit - identify what to move, what to archive, what to delete
Restructured information architecture with metadata instead of folders
Permissions mapping from NTFS to SharePoint with documented security model
Incremental migration with delta sync - no downtime, no data loss

SharePoint On-Premises to SharePoint Online

Moving from SharePoint 2013, 2016 or 2019 Server to SharePoint Online. This isn't just a file copy - it involves migrating lists, libraries, workflows, custom solutions, site structures and permissions while modernising the experience.

Challenges we solve

Classic sites and pages that need converting to modern SharePoint experience
SharePoint 2010/2013 workflows that don't exist in SharePoint Online - need rebuilding in Power Automate
Custom server-side solutions (farm solutions, sandbox solutions) that won't work in the cloud
InfoPath forms that need replacing with Power Apps or modern alternatives

What we deliver

Full environment assessment - sites, lists, workflows, custom solutions, storage usage
Workflow remediation plan - map legacy workflows to Power Automate equivalents
Site modernisation - classic pages converted to modern, hub site architecture applied
Metadata and content type migration with version history preserved

Box, Dropbox & Google Drive to SharePoint Online

Consolidating from third-party cloud storage into SharePoint Online. Common when organisations standardise on Microsoft 365 and want to eliminate separate file storage subscriptions and reduce their tool sprawl.

Challenges we solve

Sharing permissions and link structures that don't translate directly to SharePoint's permission model
Google Docs, Sheets and Slides that need converting to Office formats (or deciding what stays native)
Box Notes and Dropbox Paper content that needs extracting and reformatting
External sharing links that need recreating or deprecating in the new environment

What we deliver

Source platform audit - file counts, storage usage, sharing analysis, permission mapping
File format conversion strategy - Google Docs to Word/Excel with formatting validation
Permission mapping from source platform roles to SharePoint groups and Azure AD
User communication and change management plan for the platform switch

How We Approach Every Migration

A migration isn't a file copy. It's an opportunity to restructure, clean up and improve how your organisation manages information. We treat every migration as an architecture project with a data move at the end - not the other way around.

Discovery & Assessment

We scan your source environment to understand the full picture - file counts, storage volumes, folder depth, file types, permissions structure, and any blockers (invalid characters, path length issues, unsupported file types). No surprises halfway through the migration.

Content Clean-Up & Rationalisation

Not everything needs to move. We work with your team to identify what's current, what should be archived, and what can be deleted. Most organisations reduce their migration volume by 30-50% through this step alone - saving time, cost and storage.

Target Architecture Design

We design your SharePoint Online structure before moving anything - site collections, hub sites, document libraries, content types, metadata columns and permissions model. The target environment is purpose-built, not a mirror of the old mess.

Pilot Migration & Validation

We run a pilot batch first - typically one department or project area. Your team validates the results, confirms the structure works, and signs off before we proceed with the full migration. This catches issues early when they're cheap to fix.

Full Migration with Delta Sync

The bulk migration runs in the background with no disruption to users. A final delta sync captures any changes made since the initial copy. Version history, timestamps and metadata are preserved. We validate file counts and integrity post-migration.

Cutover, Training & Decommission

Coordinated cutover with user communication, hands-on training for navigating the new environment, and a decommission plan for the source system. We don't leave until your team is confident and the old environment is safely switched off.

What Most Migrations Get Wrong

We've cleaned up enough failed migrations to know the common mistakes. Here's what we do differently.

Lift and Shift

Copying your broken folder structure into SharePoint doesn't fix anything - it just moves the mess to a different location. We restructure content around how your teams actually work, using metadata and views instead of 10-level deep folder trees.

Ignoring Permissions

File server permissions rarely map cleanly to SharePoint. Migrating with "everyone has access" is a compliance risk. Migrating with broken permissions means nobody can find their files. We map permissions properly before the first file moves.

No User Communication

Users wake up one morning and their files are somewhere new with no warning. Adoption tanks, helpdesk tickets spike, and people start saving files locally again. We run structured communication and training so the switch feels smooth, not jarring.

Moving Everything

Most file servers contain 40-60% of content that hasn't been accessed in over two years. Migrating all of it wastes time, money and storage quota. We help you identify what's current, what should be archived, and what can go.

No Post-Migration Governance

The migration succeeds but six months later SharePoint looks just as messy as the file server did. We set up governance policies, naming conventions, site creation controls and retention rules so your new environment stays clean.

Underestimating Complexity

"It's just copying files" is the most expensive assumption in IT. Path length issues, invalid characters, permission inheritance breaks, throttling limits, version history migration - these are all solvable problems, but only if you plan for them.

How We Work

1

Assess

Scan your source environment, identify blockers, map permissions and estimate migration volume

2

Design

Build the target SharePoint architecture - sites, libraries, metadata, permissions and governance model

3

Migrate

Pilot batch, validate, then full migration with incremental delta sync and post-migration integrity checks

4

Cutover & Train

Coordinated switch, user training, source decommission and handover documentation

SharePoint Migration FAQ

How long does a SharePoint migration take?

It depends on volume and complexity. A straightforward file server migration for a 50-person company might take 2-3 weeks including planning and validation. A SharePoint on-premises migration with workflows and custom solutions could take 4-8 weeks. We give realistic timelines after the assessment phase.

Will we lose any data during the migration?

No. We run post-migration validation that checks file counts, folder structures and integrity against the source. Incremental delta sync ensures any files modified during the migration window are captured. Version history and timestamps are preserved where technically possible.

Will there be downtime during the migration?

The bulk migration runs in the background with no disruption to users. There's typically a brief cutover window (a few hours, usually over a weekend) where we run the final delta sync and switch users to the new location. We coordinate this with your team to minimise impact.

What happens to our SharePoint 2013 workflows?

SharePoint 2010 and 2013 workflows don't migrate to SharePoint Online - they need rebuilding. We assess each workflow, determine whether it's still needed, and rebuild the ones that are in Power Automate. This is often an opportunity to simplify and improve the process at the same time.

Can you migrate our Google Docs to Word format?

Yes. Google Docs, Sheets and Slides can be converted to their Office equivalents (Word, Excel, PowerPoint) during migration. We validate formatting post-conversion and flag any documents that need manual attention. Simple documents convert cleanly; complex ones with custom formatting may need review.

Do we need any special licences for migration?

You need Microsoft 365 licences with SharePoint Online for your users - Business Basic or above. We use professional migration tooling on our side. There's no additional licence cost to you beyond your standard Microsoft 365 subscription. We'll confirm your storage quota is sufficient during the assessment phase.

What migration tools do you use?

We use a combination of Microsoft's SharePoint Migration Tool (SPMT) for file server migrations and professional third-party tools (ShareGate, Metalogix/Quest) for more complex scenarios. The tool choice depends on the source platform, volume and complexity. We handle all tooling - you don't need to purchase or manage anything.

Can you help with adoption after the migration?

Yes. We provide hands-on training for your team, create quick-reference guides, and can run adoption workshops to help people get comfortable with the new environment. Many clients also choose a short-term retained support arrangement post-migration for the first month or two while everyone settles in.
